Compulsory Forms 2026

All exhibitors are required to complete health and safety documentation in order to exhibit. This ensures that the build-up, show days, and breakdown of the event are carried out safely for all exhibitors, contractors, visitors, and staff onsite.

The requirements vary depending on whether you have a Shell Scheme or Space Only stand. If you are unsure which stand type you have, please visit the Stand Information page, where your stand type is displayed at the top of the page. Once confirmed, please follow the relevant steps below.

Shell Scheme Stands

All shell scheme stand exhibitors are required to complete the following steps in advance of the event to ensure your stand is correctly set up for your arrival from 2pm on Tuesday 24th November.

1. Complete the Shell Scheme Stand Activities Form

All shell scheme exhibitors must complete the online Stand Activities Form no later than 16th October 2026.

The link for the form is here.

The form takes approximately 8 minutes to complete and ensures we have the correct information to prepare your stand. We recommend submitting the form as soon as your stand plans are confirmed, as some activities may require advance approval from the ICC Sydney Health & Safety Team.

Please have the following details to hand before completing the form, as you cannot save your progress and return later:

  • Stand Number and Stand Type
  • Public Liability Insurance Certificate for upload (compulsory)
  • Contact details for any third-party contractors installing elements of your stand
  • Details of any activities you intend to carry out on your stand e.g. food sampling or a display vehicle
  • Contact details for the person responsible for your company’s health and safety onsite

2. Personal Protective Equipment (PPE) Requirements

Suitable PPE must be worn at all times by contractors and exhibitors during the build and breakdown of the event. This includes, but is not limited to:

  • High-visibility vest
  • Appropriate protective footwear (no open toed shoes or high heels)

Failure to comply with PPE requirements will result in your delayed access to the hall. This is regulated by the ICC and is very strict. Please ensure you bring a hi-vis vest/top with you. Without a hi-vis vest, you will not be allowed inside the hall.

If you have any queries, please don't hesitate to reach out to your Account Manager.

Space Only Stands

All exhibitors with a space only stand are required to complete the following actions in advance of the event. These steps ensure compliance with health and safety regulations and allow sufficient time for review and approval where required.

1. Complete the Space Only Stand Activities Form

All shell scheme exhibitors must complete the online Stand Activities Form no later than 16th October 2026.

The link for the form is here.

This form collects details about any activities taking place on your stand and takes approximately 8 minutes to complete. Some stand activities may require prior approval from the Health & Safety Team, so we strongly recommend completing the form as soon as your stand plans are confirmed.

Please have the following details to hand before completing the form, as you cannot save your progress and return later:

  • Stand Number and Stand Type

  • Public Liability Insurance Certificate for upload (compulsory)

  • Details of any activities you intend to carry out on your stand e.g. food sampling or a display vehicle

  • Contact details for the person responsible for your company’s health and safety onsite

2. Submit the Space Only Stand Contractor Form & Supporting Documents

The complexity of your stand structure will determine the level of information required; more complex builds will require more detailed submissions. The Space Only Stand Information & Regulations will be added here shortly, which outline the general rules and requirements for building a space only stand. This should be shared with your third party stand contractor to ensure they are aware and abide by all health and safety regulations. Please note, any build taller than 2.5M must have the back of the build dressed to a suitable standard in a plain colour. No branding is permitted to be visible from the back of the booth, overlooking the neighbouring stand. This includes any cut-out lettering, this must also be dressed and fully covered, so not to be visible from the neighbouring stand.

You (or your appointed stand contractor) must complete this ICC Sydney Custom Build Permit Form for review, no later than 16th October 2026. Please also share your build plans with your Account Manager, once the form is submitted.

3. Personal Protective Equipment (PPE) Requirements

Suitable PPE must be worn at all times by contractors and exhibitors during the build and breakdown of the event. This includes, but is not limited to:

  • High-visibility vest

  • Appropriate protective footwear (no open-toed shoes or high heels)

Failure to comply with PPE requirements will result in your delayed access to the hall. This is regulated by the ICC and is very strict. Please ensure you bring a hi-vis vest/top with you. Without a hi-vis vest, you will not be allowed inside the hall.

If you have any queries, please don't hesitate to reach out to your Account Manager (about general event questions) or exhibitionservices@iccsydney.com (for specific space only stand build questions).
